Introduction
My CGPA Calculator is an educational website that helps students estimate semester GPA, cumulative CGPA, honours classifications, and related grade conversions. We are not a university, examination board, or government agency. We do not issue transcripts or certify academic records.
Privacy matters to us because the whole product is built around numbers you might not want shared — marks, failures, scholarship hopes. This policy explains what happens when you visit our pages, use our calculators, contact us, or use optional analytics when configured.
Effective date: August 1, 2026. Last updated: September 11, 2026.
Summary (read this first)
- Grades and course data you type into calculators are processed in your browser and are not sent to our servers during normal use.
- We do not require accounts, student IDs, or sign-in for basic tools.
- We may use cookies and similar technologies for site operation and analytics when configured.
- If you email us or use the contact form, we receive what you choose to send so we can reply.
- You may have rights to access, delete, or object to certain processing depending on your country.
Who is responsible for your data?
The data controller for My CGPA Calculator is the team that operates the website at https://mycgpacalculator.net. For privacy questions, data requests, or complaints, contact us at hello@mycgpacalculator.net or through our Contact page. We will identify ourselves clearly in replies; we do not use a separate “privacy@” address unless we publish one later on this page.
Information we may collect
Information you provide voluntarily
If you use our contact form or send email, we receive the content you submit (for example your name, email address, university name, and message). We use this only to respond, fix reported grading errors, or improve the site. Do not send passwords, full national ID numbers, or complete transcripts unless absolutely necessary; we rarely need them to add a grading table.
Information collected automatically
Like most websites, our hosting and analytics tools may log technical data when you load a page:
- IP address (often truncated or aggregated by analytics providers)
- Browser type, language, and device category
- Pages viewed, approximate time on page, and referral URL (e.g. search engine)
- Country or region inferred from IP (not precise street address)
- Error diagnostics when something fails (stack traces without your grades)
This information is used in aggregate to understand traffic, fix bugs, and decide which university pages to maintain. It is not sold as a mailing list of individual students.
Local storage on your device
Some features (such as optional Pro calculator preferences or dismissing the cookie notice) may store small values in your browser's local storage or session storage. That data remains on your device until you clear site data. We do not sync it to our servers unless a future feature explicitly says otherwise and you opt in.
What we do not collect
Unless you voluntarily send it in a message, we do not aim to collect:
- CGPA, GPA, GWA, module marks, or course titles entered in calculators
- Official transcripts, roll numbers, or examination registration IDs
- Precise geolocation from GPS
- Payment card data (the site is free; we do not run a checkout)
- Social media passwords or address book contacts
Calculator arithmetic runs client-side in JavaScript. Closing the tab typically clears session-only data. Treat public or shared computers like any other sensitive task — log out of shared sessions and clear browser data if you are concerned.
Legal bases for processing (EEA, UK, Switzerland)
If you are in the European Economic Area, the United Kingdom, or Switzerland, we process personal data only when we have a valid legal basis:
- Consent — for non-essential cookies where required by law, when you accept via our cookie banner or browser settings.
- Legitimate interests — to operate, secure, and improve the website, understand aggregated usage, and respond to inquiries, balanced against your rights.
- Legal obligation — when we must retain or disclose information to comply with applicable law.
- Contract — rarely applicable; the service is provided without a paid contract.
You may object to processing based on legitimate interests or withdraw consent for cookies without affecting core calculator functionality.
How we use information
- Deliver pages and calculators to your browser
- Diagnose outages, abuse, and security incidents
- Understand which regions and university pages need updated grading tables
- Answer support messages and document fixes to grading scales
- Comply with legal requests when valid and required
We do not sell personal information to data brokers. Calculator inputs are not available to us by design.
Cookies and similar technologies
Cookies are small text files stored by your browser. We also use similar technologies (local storage, pixels) as described in our dedicated Cookie Policy. Essential cookies and storage may remember preferences during your visit. Analytics cookies may be set by us or partners when configured.
Third-party services
We rely on service providers that may process limited data on our behalf:
- Hosting and CDN — deliver site files securely
- Google Analytics or similar — aggregated traffic statistics (if configured)
- Google Fonts — typography (may involve Google servers; IP address may be logged by Google)
- Email delivery — if you contact us, messages pass through mail infrastructure
Each provider operates under its own terms and privacy policy. We configure services to minimize data where options exist (for example IP anonymization in analytics when available). We are not responsible for third-party sites you reach via external links.
How long we keep information
- Calculator inputs: not retained on our servers during normal use.
- Contact messages: typically up to 24 months unless we need longer to resolve a dispute or legal matter.
- Server logs: usually rotated within 30–90 days depending on host configuration.
- Analytics: retained according to the analytics tool's settings (often 14–26 months aggregated).
We delete or anonymize data when it is no longer needed for the purposes above.
Security
We serve pages over HTTPS, keep software updated, and limit access to infrastructure. No method of transmission over the Internet is perfectly secure. Because sensitive academic numbers are processed locally in your browser, a large-scale “grade database” breach is not part of our architecture. You should still protect your devices and avoid sharing screenshots of results in untrusted channels.
Children and students
The site is used by school and university students, including minors in some countries. We do not knowingly collect personal information from children under 13 (or under 16 in parts of the EEA where that threshold applies) through accounts — we do not offer child-specific accounts. If a parent or guardian believes a child submitted personal information through our contact form, email us and we will delete it promptly.
Your privacy rights
Depending on your location, you may have the right to:
- Access personal data we hold about you
- Correct inaccurate data
- Delete data (“right to be forgotten” in some regions)
- Restrict or object to certain processing
- Data portability where applicable
- Withdraw consent for non-essential cookies where processing is consent-based
- Lodge a complaint with your local data protection authority
To exercise rights, email hello@mycgpacalculator.net with enough detail for us to verify your request. We respond within reasonable timeframes required by law (often 30 days). We may need to keep certain records for legal compliance even after a deletion request.
Notice for US residents (including California)
Some US states provide additional privacy rights. We do not sell personal information as defined under the California Consumer Privacy Act (CCPA/CPRA) in exchange for money. Categories of information we may collect include identifiers (IP address), internet activity (pages viewed), and inferences (general location). Sources: your browser and your voluntary messages. Purpose: operate the site and analytics when configured. We do not discriminate against you for exercising privacy rights.
International users and transfers
Students use My CGPA Calculator from Bangladesh, India, Pakistan, Malaysia, the Philippines, Nigeria, the UAE, the UK, Europe, and elsewhere. Our servers and service providers may be located in countries different from yours. Where required, we rely on appropriate safeguards (such as standard contractual clauses) for transfers outside your country. By using the site, you understand that technical logs may be processed internationally.
Changes to this policy
We update this page when we add features or adjust analytics. Material changes will be reflected in the “Last updated” date. Continued use after an update means you accept the revised policy. For significant changes affecting cookies, we may show the cookie banner again where required.
